Welcome to Evans Travel & Tours. By booking a tour or using our services, you agree to be bound by these Terms & Conditions. Please read them carefully before making a reservation. If you have any questions, feel free to contact us for clarification.

Booking and Payment

To secure your tour reservation with Evans Travel & Tours, the following payment terms apply:

  • A deposit is required at the time of booking to confirm your reservation
  • The full balance must be paid before the tour departure date unless alternative arrangements have been agreed upon in writing
  • All prices are quoted in United States Dollars (USD) unless otherwise specified
  • Prices are subject to change until booking is confirmed and deposit is received
  • We accept payment via bank transfer, credit/debit cards, and other approved payment methods
  • Payment receipts and booking confirmations will be sent via email

Cancellation Policy

We understand that plans can change. Our cancellation policy is designed to be fair to both our clients and our business partners:

Client-Initiated Cancellations

  • More than 60 days before departure: Full refund minus administrative fees
  • 30-59 days before departure: 50% refund of total tour cost
  • Less than 30 days before departure: No refund

Company-Initiated Cancellations

In the rare event that Evans Travel & Tours must cancel a tour due to unforeseen circumstances (such as insufficient bookings, natural disasters, or safety concerns), we will:

  • Provide a full refund of all payments made, or
  • Offer the option to reschedule to an alternative tour date or destination

Note: Cancellation requests must be submitted in writing via email to info@evans-tours.com. The cancellation date will be the date we receive your written notice.

Travel Documents and Client Responsibilities

It is the responsibility of each traveler to ensure they have all necessary documentation for their trip:

  • Valid passport with at least 6 months validity beyond the tour end date
  • Required visas for all countries included in the tour itinerary
  • Necessary vaccinations and health certificates as mandated by destination countries
  • Comprehensive travel insurance covering medical emergencies, trip cancellation, and personal belongings

Evans Travel & Tours assumes no liability for delays, denied entry, additional costs, or other issues arising from incomplete or incorrect travel documentation. While we can provide guidance and assistance with visa applications, the final responsibility rests with the traveler.

Health and Safety

Your safety and well-being are our top priorities:

  • Travelers must be in reasonable physical condition to participate in tour activities, which may include walking, hiking, and other moderate physical exertion
  • Please inform us of any medical conditions, dietary restrictions, or special requirements at the time of booking
  • We reserve the right to refuse participation to anyone whose health or behavior may pose a risk to themselves or others
  • While we prioritize safety and work with reputable partners, we cannot guarantee against all risks inherent in travel and tourism activities

We strongly recommend obtaining comprehensive travel insurance that covers medical emergencies, evacuation, and repatriation.

Accommodation and Transportation

Evans Travel & Tours is committed to providing quality accommodation and reliable transportation:

  • Accommodation is based on twin or double occupancy unless otherwise specified
  • Single room supplements may apply for solo travelers requesting private accommodation
  • Hotels and lodging are subject to availability; equivalent alternatives will be provided if necessary
  • Transportation is provided in comfortable, air-conditioned vehicles appropriate for group size and terrain
  • Internal flights (where applicable) are booked with reputable airlines, subject to their terms and conditions

Itinerary Modifications

While we make every effort to adhere to published itineraries, certain circumstances may necessitate changes:

  • Weather conditions, road closures, or natural events
  • Border delays, permit issues, or government restrictions
  • Cultural events, festivals, or local circumstances beyond our control
  • Safety concerns or security advisories

Evans Travel & Tours reserves the right to modify itineraries, accommodations, or activities as needed to ensure safety and operational feasibility. We will make every reasonable effort to provide equivalent alternatives and notify travelers of significant changes as soon as possible.

Limitation of Liability

Evans Travel & Tours acts as an intermediary in arranging transportation, accommodation, tours, and other travel services through independent third-party providers. As such:

  • We are not liable for acts, errors, omissions, or negligence of third-party service providers
  • We are not responsible for personal injury, property damage, loss, or theft during the tour
  • We are not liable for delays, cancellations, or disruptions caused by airlines, transportation providers, or other third parties
  • We are not responsible for force majeure events including natural disasters, pandemics, war, civil unrest, or government actions beyond our control

Our liability is limited to the cost of the tour package. We strongly recommend comprehensive travel insurance to protect against unforeseen circumstances.

Code of Conduct

We expect all travelers to conduct themselves respectfully and responsibly:

  • Respect local cultures, customs, and traditions in all destinations
  • Follow the instructions of tour guides and local authorities
  • Treat fellow travelers, guides, and service providers with courtesy and respect
  • Comply with local laws and regulations
  • Refrain from behavior that endangers yourself or others

Evans Travel & Tours reserves the right to remove any traveler from a tour whose behavior is deemed disrespectful, unsafe, or disruptive, without refund.

Photography and Marketing

During tours, Evans Travel & Tours may take photographs or videos for promotional purposes. By participating in our tours, you consent to the use of your image in marketing materials, social media, and promotional content unless you explicitly opt out in writing.

Complaints and Dispute Resolution

If you have concerns or complaints during your tour:

  • Report issues immediately to your tour guide or group leader so we can address them promptly
  • If resolution is not achieved during the tour, submit a formal complaint in writing within 14 days of tour completion
  • We will investigate all complaints and respond within 30 days

Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of the Federal Republic of Nigeria. Any disputes arising from these terms or your tour booking shall be subject to the exclusive jurisdiction of Nigerian courts.

Changes to Terms & Conditions

Evans Travel & Tours reserves the right to update these Terms & Conditions at any time. Changes will be posted on our website with an updated effective date. Bookings made prior to changes will be subject to the terms in effect at the time of booking.

Acceptance of Terms

By making a booking with Evans Travel & Tours, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions. You also confirm that you have the authority to accept these terms on behalf of all travelers included in your booking.
